If I already have referee details to send for an employee, how do I add these to llama.id?

Summary

llama.id gives employers the flexibility about how to add referee information to llama.id and start chasers. In some organisational processes previous employer information has already been obtain in "pre-registration" (especially adopted in recruitment agencies).

This means organisations don't want to waste time employees filling in referee information when its already been obtained. llama.id supports this process.

How to add previous employment information for reference?

You need to either invite the employee or requesting a new additional check to complete this process. You can follow the process for inviting an employee here. You can follow the process for adding a new check to an existing employee here

  • Select add references on the check screen and other relevant checks
  • You will then get to the reference information screen

  • add the basic reference types and years of references you need to collect as you would as normally request from your employee
  • Once you have added the relevant information click already go references to upload by clicking the button below

  • This will take you to a screen where you can add all the relevant reference details 
  • You need to click "view" on each panel to ensure all references are submitted

  • Click inside each panel. 
  • If you have requested 2 years of references, you will need to add these into the system until llama.id has informed you that you have met that criteria.
  • Click on the references to add the reference information

  • Click on each reference form and enter the reference details until you have reached 5 years of references.
  • Once you have reached the relevant years worth of references you need to click submit references

  • If you have requested any additional mandatory references you need to complete this in the same way but the years logic is not needed
  • Click on the mandatory references tile and complete the relevant reference forms too

  • Once you have completed all additional references you can submit these references
  • You will not be presented back at the reference summary screen. 
  • This is where you need to approve the references to send

  • Click approve references 
  • You will then need to approve each reference

  • At this point llama.id will validate the email address has an actual inbox
  • These are the two outcomes
Email address valid Email address not valid

This means the reference is approved and can be sent to the referee once the invite flow is completed and the employee is connected This means the reference email is invalid. There is no inbox and therefore llama.id cannot send reference chasers. 

 

You can add another email address by clicking edit, adding the email and clicking the approve button again, to validate another email address to send. After you have approved every reference for send you can continue with the invite flow

  • Click back to invite and continue with the rest of the invite flow
  • You need to make sure you send the invite for the references to be sent once the employee is connected. 
  • If the employee is connected the reference emails are sent instantly. 

What does this error mean?

This error means that you have not approved all references in the invite flow before continuing. Please ensure you go back to the references summary to review what references you haven't approved. Please ensure you approve all the references before you can continue.

You references need to look like the below to be able to continue.

Made a mistake when adding information?

Not a problem! You can archive the relevant reference section. This will remove the references and allow you to go back and add the correct references. If you don't need the references at all, by archiving them, you can then continue with the invite flow and you should not see the above workflow errors. 

  • Go the to the reference summary screen
  • Click the archive button
  • References will be removed from the invite flow
  • This will allow you to go back and add more references 
  • or continue with the invite flow if no other references are required
