How does the DBS update service work?

Summary

Llama.id is automatically connected to the DBS Update Service. This means you no longer have to run manual reports, removing a heavy burden on your operations. With this feature you will instantly be updated to any changes to an individual's criminal status. 

 

How to find the update service in llama.id?

It's really simple! Log into llama.id. You will have a dashboard notification stating a DBS update service check has been completed for the individual.

  1. You can either click the notification or search for the individual in llama.id. 
  2. Go the the individuals llama.id profile
  3. Click on run update service 
  4. You will then be presented with the DBS certificate form details and DBS update service status

How will I be notified to check a DBS certificate?

A individual has the opportunity to upload a DBS certificate that is on the Update Service before a DBS application and after a DBS application is completed. You can see what the individual needs to do to upload their DBS certificate here

You will receive an email stating the following:  {Individuals name} has uploaded their DBS certificate for you to review

This means you can now go into llama.id to check the status of the Update Service.

 

When an employee uploads their DBS certificate you can check the whether the DBS is on the update service instantly. This will then inform you on whether the DBS is on the update service or if there have been any changes to the DBS status. E.g something has changed and a new DBS needs to be processed.

There are multiple places where you can see the status of the Update Service. 

  • You can view the status of the DBS update service on the employees profile
  • You can view the status of the DBS update service on the "run Update Service form"

What is the DBS Update Service?

The Disclosure and Barring Service (DBS) Update Service allows:

  • Applicants to keep their DBS certificates up to date
  • Employers to check whether an employee has had any cautions or convictions since the DBS certificate was printed.

How does llama.id work with the Update Service?

Llama.id is connected automatically to the DBS Update Service. This means once your DBS certificate is uploaded to Llama.id. Llama.id can constantly return the latest status of a DBS and inform employers of any changes or whether a DBS has fallen off the update service. 

 

What are the benefits of using the updates service?

  • Saves money and time as there's no need to obtain a new DBS for each employment
  • DBS Update Service check is instant. No need to wait weeks for a new certificate

 

What do the DBS Update Service statuses mean?

 

Llama.id will automatically check the update service when a DBS certificate is uploaded. This will present you with different statuses, depending on the outcome of the check.

  • BLANK_NO_NEW_INFO - This means the DBS is on the update service and the certificate is clear. You will see the outcome entered as "CLEAR". If you are happy with the images uploaded, then you can approve the certificate. 

  • NON_BLANK_NO_NEW_INFO - This means that there is a successful match on the Update Service and there's information on the certificate that has not changed since they registered on the Update Service. This should be reviewed in line with your safeguarding policies as this could be a compliance risk to your organisation. You will see the outcome entered at "DISCREPANCY". If you are happy with the images uploaded, then you can approve the certificate. 

  • NO_MATCH_FOUND - This means that the details entered do not match any record held actively on the Update Service. This could be due to incorrect details inputted in the DBS form. You can edit the DBS certificate form information by reviewing the DBS images uploaded and ensuring the data the user has entered is accurate. You can edit the information if there are user errors and then click the update button which will return an updated status to you.

    If the DBS is still not showing as on the update service then it is likely that the DBS is not on the update service and you can request a new DBS application to be completed by pressing:mceclip0.png
  • NEW_INFO - This is a compliance risk! This means that since the DBS certificate was registered on the Update Service, there has been a change in their DBS information. You need to request a new DBS immediately and follow your organisations relevant safeguarding policies. 

 

You can now run DBS update service checks in Llama.id. You no longer need to use the following website. https://secure.crbonline.gov.uk/crsc/check?execution=e1s1
